This free receipt generator creates a clear PDF receipt for a payment you have received: your business details, who paid, what they paid for, tax, the date paid, the payment method and a PAID stamp. It suits freelancers, landlords, tutors, small shops and anyone who takes payment by cash, e-transfer or cheque and needs to hand the payer a proper record.
A receipt is evidence that a real payment took place, so it is only for genuine transactions. Creating a receipt for a purchase or payment that did not happen, or altering one, to claim expenses, a refund, a reimbursement or a tax deduction is fraud. The tool deliberately has no templates that look like a particular store, restaurant, airline or other brand, and it is not a way to replace a lost receipt from someone else; ask the seller for a copy instead.
How to use
- Enter your business details in From. They are remembered in this browser for next time.
- Enter who paid in Received from.
- Set the receipt number (RCT- sequence), the receipt date and the date paid, then the payment method and an optional reference such as a cheque number or transaction ID.
- Add what was paid for as line items, with tax and any discount. The total shows as Amount paid with a zero balance.
- Download the PDF or print it, and keep a copy with your records.
Frequently asked questions
Can I use this to recreate a lost receipt?
Only if you are the seller who received the payment and you are reissuing your own receipt; mark it as a copy. If you are the buyer, you cannot make your own receipt for someone else's sale: ask the seller for a duplicate, or use your bank or card statement as proof of payment, which tax authorities and most expense policies accept with an explanation. Fabricating a receipt from another business is fraud.
What should a receipt include?
Your business name and contact details, a unique receipt number, the date of payment, who paid, what was paid for, the amount, any tax charged (with your GST/HST, VAT or sales tax number if you are registered), and the payment method. In Canada, a customer claiming input tax credits needs your registration number on purchases of 100 dollars or more, and their own name, a description and the terms from 500 dollars.
What is the difference between an invoice and a receipt?
An invoice asks for payment and has a due date. A receipt confirms that payment was received and has a date paid. When a customer pays an invoice you can either mark the invoice paid or issue a receipt that references the invoice number; for cash and in-person sales there is often only a receipt.
Do I need to give a receipt for cash payments?
It depends on where you are and what you sell, but it is always good practice and often expected. Landlords in several Canadian provinces, including Ontario, must give a rent receipt free of charge when a tenant asks. Charities need official donation receipts in a specific format, which this general receipt does not replace. For your own books, a numbered receipt for every cash payment is the simplest audit trail.
Is the receipt uploaded or stored?
No. The PDF is generated in your browser; nothing is sent to a server. Only your From block, tax settings and notes are saved in local storage on your device so the next receipt is faster. Clearing site data removes them.
For genuine transactions only
A receipt says money changed hands. Making one for a payment that did not happen, inflating an amount, or producing a receipt in the name of a business you are not, in order to claim an expense, a refund, a warranty, a reimbursement or a tax deduction, is fraud, and in most countries a criminal offence. Employers and tax authorities check receipts against card statements and supplier records.
That is why this generator has only a plain, neutral layout with your own business details. It does not offer templates that copy the look of a store, restaurant, fuel station, ride-hailing app or any other brand.
